Privacy Policy
Last updated: October 5, 2026
This policy explains how InjuryOptiX LLC ("Injury OptiX," "we," "us") collects, uses and protects information through injuryoptix.com (the "Site") and the Injury OptiX platform, including Command OptiX, Case OptiX, Chart OptiX and the Attorney Portal (the "Platform").
Information we collect on the Site
- Information you submit. When you request a demo or an EHR integration, we collect what you enter — such as your name, practice name, specialty, email address, approximate case volume and any message you include.
- Technical information. Our hosting provider records standard server logs, such as IP address, browser type and pages requested, to operate and secure the Site.
- Fonts. The Site loads fonts from Google Fonts, which may receive your IP address when a page loads.
The Site does not currently use advertising or analytics cookies. If that changes, we will update this policy.
Patient and case information in the Platform
Practices use the Platform to manage personal injury cases, which can include protected health information ("PHI"). We process that information on behalf of the practice, as a business associate under HIPAA, according to our agreement with the practice and an applicable Business Associate Agreement. That agreement — not this policy — governs how PHI in the Platform is handled. We do not sell PHI or use it for advertising.
Google user data (Gmail integration)
If a practice user connects a Gmail account, the Platform requests permission through Google's OAuth process. Depending on the permissions granted, the Platform may read messages and attachments in email threads related to personal injury cases, apply labels, and send replies from the user's own address when the user chooses to send them from the Platform.
- How we use it. Only to provide the features the user sees: identifying reduction requests and other case-related emails, linking them to the correct case, showing the email history on the case and sending replies the user initiates.
- What we don't do. We do not use Gmail data for advertising, do not sell it, and do not allow humans to read it except with the user's permission, for security purposes, to comply with law, or as part of the practice's own use of the Platform.
- Limited Use. Injury OptiX's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
- Revoking access. You can disconnect Gmail at any time from your Google Account's security settings or by contacting us.
How we use information
- To respond to demo and integration requests
- To provide, maintain, secure and improve the Site and Platform
- To communicate with customers about their accounts
- To comply with legal obligations
How we share information
We do not sell personal information. We share it only with service providers that help us run the Site and Platform (such as hosting and email delivery), under obligations to protect it; when required by law; or in connection with a merger, acquisition or sale of assets, subject to this policy.
Security and retention
We use administrative, technical and physical safeguards appropriate to the information we handle, including encryption of access credentials. We keep Site inquiries for as long as needed to respond and maintain business records, and handle Platform data according to our customer agreements.
Your choices
You can ask us to access, correct or delete information you submitted through the Site by emailing us. Patients with questions about their health information should contact the treating practice, which controls that information.
Children
The Site is intended for businesses and is not directed to children under 13.
Changes
We may update this policy. The date at the top shows when it last changed.
